This role has been created to support the operational backbone of trip execution and ensure departures, extensions, supplier coordination, and logistics are managed with a high level of accuracy and consistency. This is a remote position open to candidates based in British Columbia and Alberta.
Compensation
- Base salary of $80,000.
- Annual discretionary bonus of $5,000.
- 3 weeks of vacation.
- 4 weeks of vacation after 2 years of service.

Responsibilities
- Prepare and manage detailed rooming lists for all departures, ensuring guest names, room types, special requests, and travel dates are accurate and submitted on time.
- Distribute finalized rooming lists to hotels and destination management companies while proactively managing confirmations, revisions, and last minute updates.
- Coordinate all pre trip and post trip extensions, including hotel nights, transfers, and related services, ensuring each extension aligns cleanly with the core itinerary.
- Maintain and update comprehensive trip summary documents in Google Sheets for every departure so all operational details remain current, organized, and accessible.
- Complete and maintain operations checklists for each program so key logistical elements are booked, confirmed, tracked, and ready well in advance of departure.
- Research, reserve, and manage all group flight bookings, including flights tied to extensions, using airline websites and group booking channels where required.
- Submit passenger names to airline group departments, manage name changes where needed, and ensure all traveller information is accurate and aligned with travel documentation.
- Book and confirm all included and optional activities in accordance with each itinerary, ensuring timing, group size, supplier availability, and logistical flow are fully aligned.
- Arrange group dining reservations that support the itinerary, confirming final guest counts, dietary requirements, and special requests with restaurant partners in advance.
- Coordinate and secure all required ferry and rail bookings, including group reservations where applicable, while documenting schedules, ticketing deadlines, and booking references accurately.
- Confirm local guide services prior to departure, including meeting times, locations, itinerary expectations, and any special requests that need to be communicated.
- Use the master operations rooming list to monitor supplier deadlines and contractual requirements so submissions are completed on time and operational risk is minimized.
- Maintain accurate records across shared documents, trackers, and worksheets so trip details, confirmation numbers, supplier contacts, and booking status remain complete and current.
- Support forward planning for upcoming programs by staying ahead of booking windows, identifying gaps, and helping ensure future departures are organized well before execution begins.
Qualifications
- 2 years of experience in travel, tourism, operations, logistics, or a similarly detail driven environment with high accuracy expectations.
- Strong attention to detail, especially when managing flights, rooming lists, hotel bookings, and other time sensitive trip components.
- Demonstrated ability to manage a high volume of moving pieces across multiple departures, suppliers, and deadlines without losing accuracy.
- Clear and professional communication skills with the ability to coordinate effectively with hotels, airlines, restaurants, guides, and destination management companies.
- Comfort working behind the scenes in a non guest facing role that requires precision, follow through, and strong independent judgement.
- Ability to prioritize effectively, think critically, and make sound decisions in an environment where plans can shift and ambiguity is part of the work.
- Strong organizational habits and follow through, including completing bookings accurately and tracking work to completion.
- Ability to follow established processes, work autonomously, and contribute within a small, fast moving team.
- Proficiency with Google Workspace tools, including Google Docs, Google Sheets, and Google Drive.
- Equivalent experience will be considered.
